In short: we use your personal data to process orders, answer questions, operate our online store, prevent fraud, enable customer reviews and, where there is an appropriate lawful basis, improve our services, communications and online store. We may also use artificial intelligence as a supporting tool. This does not change our responsibility for the lawful and careful handling of your personal data.

Which personal data do we process?

Orders and delivery

To process your order, we need information such as your name, email address, delivery address, payment details and, where relevant, your telephone number. This enables us to process and deliver your order and keep you informed about its status.

Where necessary to fulfil your order, we share information with organisations involved in processing or delivering it, such as carriers, payment providers, fulfilment partners or suppliers. These organisations may use the information only for the purposes for which it is provided.

Your account

If you create an account, we store information such as your name, address, telephone number, email address, delivery information and previous orders. This makes future ordering easier and gives you access to your order history.

You can change your account information or ask us to remove your account unless we need to retain certain information because of legal obligations, ongoing orders or another lawful reason.

Customer service and contact

You can contact us by telephone, email, chat or contact form. To assist you properly, we may record information or notes relating to your question, order or previous communications.

We use this information to answer questions, resolve complaints or problems and improve our service.

Newsletters and direct marketing

You can subscribe to our newsletter to receive news, offers, information about new products and other relevant information. You can unsubscribe at any time using the unsubscribe link included in each newsletter.

Where permitted by applicable electronic marketing rules, we may also send existing customers information about our own similar products or services. You can object to or opt out of this marketing at any time.

After you unsubscribe, we no longer use your email address for that marketing purpose, although we may still contact you where there is another lawful reason to do so, for example in relation to an ongoing order.

Customer reviews and ratings

We and our customers value honest customer reviews. After an order or interaction with our customer service team, we may invite you to leave a product or company review.

We may use external review platforms to collect reviews. Where we do so, we share only the information necessary to send the invitation or connect the review with a genuine customer experience.

Klarna, pay later and instalment payments

If you choose a payment method where you do not pay immediately, such as pay later or payment by instalments, the relevant payment provider may use your information to determine whether that payment method can be offered to you. If you choose Klarna, Klarna processes your information in accordance with its own privacy notice and terms.

We share only the information necessary to provide the selected payment method and process the payment correctly.

Business customers and partners

We may also process personal data relating to contact persons at business customers, suppliers and partners. This may include name, job title, email address, telephone number and business correspondence. We handle this information with the same care as other personal data.

Social media

If you contact us through social media, for example by asking a question or responding to a post, we may process your message and account name so that we can respond.

If you share a page, product or post through social media, the relevant platform may process personal data independently. We do not have access to your complete social media account. The relevant platform's own privacy notice applies to its processing.

Use of artificial intelligence (AI)

legendURN uses artificial intelligence as a supporting tool in different areas of our organisation. AI may, for example, assist with drafting, editing and translating text, structuring and processing information, supporting customer service, analysis and improving internal processes.

AI supports our staff and services but does not replace our responsibility. legendURN and Legend Corporation B.V. remain responsible for the information, communications and services we provide through our online store.

Personal data and AI

Where personal data is processed using AI, the same data protection principles apply as to our other processing activities. We limit the personal data provided to AI systems as far as reasonably possible and use it only where this is necessary for a clearly defined purpose and there is a valid lawful basis.

We use appropriate technical and organisational measures to protect personal data and do not provide personal information to AI systems without a defined purpose or need.

External AI service providers

For some applications, we may use external AI providers or software services that include AI functionality. Where these providers process personal data on our behalf, we put appropriate arrangements in place concerning security, confidentiality, purpose limitation and use of the information.

AI in text, images and other content

AI may be used as a tool to create, edit, review, structure or translate text, images and other content on our website. legendURN retains editorial responsibility for the information and content we publish.

Direct interaction with AI

If you interact directly with an AI system on our website, for example through an AI chat function or digital assistant, we will make it clear that you are interacting with an AI system unless this is already obvious from the circumstances.

Information you enter during such an interaction may be processed to respond to your request and provide the relevant service. Please do not provide personal information that is not necessary for your request.

Automated decision-making

legendURN does not use AI to make decisions based solely on automated processing that produce legal effects concerning you or similarly significantly affect you.

If we introduce such automated decision-making in the future, we will provide the information, safeguards and rights required under applicable data protection law.

External service providers, such as payment providers, may use their own automated processes when assessing whether a service or payment method can be offered. Where they act as independent controllers, they are responsible for providing information about their own processing.

What we do not do with your data

We do not sell your personal data to third parties. We do not use your personal data for automated individual pricing based on your personal behaviour or profile.

General price differences, promotions, discounts, customer groups, volume pricing or contractually agreed terms are not affected by this statement.

Who do we share personal data with?

We share personal data only where this is necessary for our services, compliance with legal obligations or another lawful purpose. Recipients may include:

  • banks, payment providers and payment platforms;
  • providers of pay-later or instalment payment services;

How long do we keep personal data?

We do not keep personal data longer than necessary for the purpose for which it was collected unless legal obligations or another lawful reason require us to retain it for longer.

  • order and invoice information is retained for as long as necessary for administration, warranty, customer service and legal retention obligations;
  • account information is retained while the account remains active or until you ask us to remove it, unless we need to retain certain information;
  • customer service information is retained for as long as necessary to handle questions, complaints or service requests;
  • personal data processed as part of an AI-assisted application normally follows the retention period of the underlying processing purpose. We also take account of the storage and deletion arrangements agreed with the relevant service provider;
  • newsletter information is retained while you remain subscribed or as necessary to record and respect your opt-out;
  • cookie and analytics retention periods may vary depending on the technology, purpose and service used.

Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration and unauthorised disclosure.
